Ticketing Scope & Requirements Definition

The work that makes every next step easier

Before issuing a ticketing RFP or approaching vendors, attractions need clarity, not just on what systems exist, but on what the business actually needs a ticketing system to do.

Bookable Tourism delivers structured, independent ticketing scoping projects that define requirements, align internal teams, and provide clear, defensible recommendations, without pushing you prematurely into a tender or vendor decision.

This work creates the foundation for a successful procurement, implementation, and long-term ticketing strategy.

What we do (and what we don't)

This is a pre-RFP scoping and advisory engagement.

We:

  • Review your current ticketing and sales setup
  • Engage with internal stakeholders across departments
  • Define functional, operational and commercial requirements
  • Assess the market and identify suitable ticketing platforms
  • Deliver a clear recommendations report

We do not:

  • Run or manage the tender process
  • Act as a reseller for any ticketing platform
  • Push a preferred vendor

This independence ensures the scope is unbiased, practical, and grounded in your organisation’s actual needs, not vendor-led assumptions.

What We Do

Current State Review

We assess your existing setup, which may include:

  • Ticketing and booking systems
  • Sales channels and distribution
  • Pricing and access models
  • Reporting and data flows
  • Existing ecosystem and integrations required
  • Front-of-house and operational processes

This helps identify constraints, risks, duplication, and opportunities before requirements are defined.

Stakeholder & Team Engagement

We meet with key teams across the organisation, which may include:

  • Operations and front-of-house
  • Marketing and digital
  • Finance and reporting
  • Programming and events
  • IT or digital (where applicable)

This ensures requirements reflect how the organisation actually operates and builds internal alignment early.

Requirements Definition

We translate operational and commercial needs into clear, structured requirements, covering areas such as:

  • Ticket types, pricing and access rules
  • Capacity, sessions and inventory management
  • Memberships, concessions and special programs
  • Sales channels and distribution needs
  • Reporting, reconciliation and data requirements
  • Accessibility, compliance and governance considerations

Requirements are written in a way that vendors can realistically respond to,  reducing ambiguity and misinterpretation later.

Market Assessment & Vendor Recommendations

Based on your requirements, we:

  • Assess the ticketing market against your needs
  • Identify platforms capable of meeting your requirements
  • Shortlist suitable vendors (with rationale)
  • Highlight trade-offs, risks and implementation considerations

You receive a clear view of which vendors fit, which don’t, and why.

Deliverables

At the conclusion of the engagement, you receive:

  • A ticketing requirements and scope document
  • A current-state assessment summary
  • A vendor shortlist with recommendations
  • Clear guidance on next steps (RFP, direct approach, pilot, or implementation)

This documentation can be used to:

  • Inform an internal business case
  • Support an external RFP or procurement process
  • Brief vendors directly
  • Reduce risk during implementation

This option works very well in government owned attractions, or for attractions who suspect they have outgrown their ticketing platform and would like a review internally and externally of what is available in market and to assist in whether to go to tender.
